Spanish translation for notice and consent forms
AnsweredHello,
We have noticed that when we try to print a notice and consent form in Spanish, such as the notification of conference or the consent for initial/re-evaluation forms, those forms have a draft watermark on it, even when draft is not selected. This is a problem when sending these two particular forms.
First, for the notification of conference form, the form that is mailed to the parent in the parent's primary language should not have a 'draft' watermark on it - this can be misleading to parent and looks unclear.
Also, the first page of the consent for eval form (where parent signs their consent) will become the official copy for the student record - this also looks unclear when this becomes the form that is filed, when it has a parent signature but also a 'draft' watermark on it.
We have not been able to figure out how to print these forms without that mark. Please advise if we are doing something incorrectly, or if this is something that you can fix in your system. Thanks for your help,
Alice Dennie

Hi Alice,
Embrace is currently using Google Translate as the base source to translate documents and the text contained within. While Google Translate is not a perfect translation tool, it allows us to translate multiple languages quickly without drastically increasing costs for our clients. It also allows us to guarantee that all changes to documents are reflected in the translated documents.
The DRAFT watermark remains on a translated document because the document was not originally written in the translated language, but rather translated by Google and/or user overrides. Because the form is being translated by Google and not a human interpreter, the PDF automatically receives the DRAFT watermark as a precaution for districts
The DRAFT watermark is a feature that can be enabled or disabled on translated forms for your district with written approval (via email) from your district’s EmbraceIEP primary contact.
Please let us know if we can be of further assistance.
Thank you!

Thank you so much for your quick reply Julie - I did not realize it was something that the district could request.
When we had an Embrace trainer come to our district, I believe I remember him saying that when you select the 'translate form only' option, that it was an approved accurate translation, not just a google translation. Is that correct?
I completely understand that when you are trying to translate the entire form with the fields included, then it would be the google translation which is why those forms would have a draft watermark on them.
Please let me know if the 'translate form only' option is an official translation or not, and I will reach out to our district representative to see how we should proceed...thanks for your help!

Hi Alice,
The translation of the form is completed in a hierarchy of layers (Google, System overrides, Coop overrides, District overrides).
Google is the first layer of translation. It provides the majority of text. Then, Embrace reviews the results and puts in system overrides for any words or phrases that Google had difficulty translating. We went through all of the default IL forms and have updated the form translation to reflect the state templates. This means that the forms will print the same way each time. (If the state updates the form, we will repeat this process and add any applicable overrides for the new content).
From there, coops and districts also have the ability for select users to override translations, if the district prefers to use a varied wording, but this is not required (many districts may not do this step).
In summary, while Google is a part of the process, the overrides are going to ensure that form content stays the same from print to print and will be consistent with current state forms. Because of this, we offer district the options to remove the DRAFT watermark from all translated documents if desired.
Please note: Removing the DRAFT watermark is done on both options - “translate form only” and “translate form and data”.
Please let us know if we can be of further assistance.
Thank you!

Okanogan School District would like the "DRAFT" watermark removed from the Spanish “translate form only” and “translate form and data” forms.
Would Embrace be able to assist with this process?
Thank you,
